KAISER PERMANENTE INTERNAL HIRING PORTAL

Role: Lead UX/UI Designer
Duration: 8-week AGILE SPRINT
Tools Used: Figma, ILLUSTRATOR, SHAREPOINT
Methodologies: Agile Sprints, User Research, Wireframing, Prototyping, Usability Testing, Developer Handoff

PROJECT OVERVIEW:

Kaiser Permanente's internal hiring portal, known as the "Talent Book," is utilized by hiring managers to select candidates who have previously worked within their programs. The existing design was not user-friendly, lacked functional features, and did not provide a personal touch, making it feel impersonal, akin to a cold call email.

Objective: Redesign the Talent Book to enhance usability, incorporate functional features such as action buttons and filters, and create a more personalized experience that aligns with Kaiser Permanente's brand identity.

PROBLEM STATEMENT

The original Talent Book presented several challenges:

  • Inefficient Navigation: Users struggled to access information quickly due to a lack of intuitive navigation and functional features.

  • Limited Functionality: Absence of action buttons and filters, WHICH hindered the ability to perform tasks efficiently.

  • Impersonal Presentation: The design lacked personalization, making interactions feel cold and detached.

  • Inconsistent Branding: The portal did not reflect Kaiser Permanente's cohesive brand identity, leading to a disjointed user experience.

MY ROLE:

As the Lead UX Designer, I led a cross-functional team of designers and engineers in an 8-week Agile sprint, focusing on troubleshooting UX challenges and refining the final handoff to software engineers.

  • Weeks 1-5: Spearheaded the UX research, wireframing, and high-fidelity UI development while simultaneously collaborating with engineers to identify and resolve design feasibility challenges.

  • Weeks 6-7: Led developer handoff preparation, ensuring Figma prototypes, interaction guidelines, and accessibility requirements were in place.

  • Week 8: Finalized design specifications, held review sessions with engineers, and assisted in troubleshooting final implementation roadblocks.

My leadership helped drive team alignment, streamline workflows, and ensure an efficient transition from UX design to development.

RESEARCH & DISCOVERY

User Interviews:

  • Conducted interviews with hiring managers and team members to gather insights into their experiences with the existing portal.

    • Difficulty in quickly accessing candidate information.

    • Frustration due to lack of filtering options.

    • Desire for a more personalized and engaging interface.

DESIGN PROCESS

UX/UI Goal

To make last years designs better, user friendly and easier to navigate.

    • Enhance Navigation: Implement a user-friendly navigation system with quick-access features.

    • Incorporate Functional Features: Add action buttons and advanced filters to streamline tasks and improve efficiency.

    • Personalize User Experience: Design an interface that feels engaging and personal, moving away from the impersonal feel of the previous design.

    • Ensure Brand Consistency: Align the portal's design with Kaiser Permanente's brand identity to provide a cohesive experience.

Ideation and Sketching:

  • Brainstormed potential solutions focusing on user-friendly navigation, functional features, and personalization.

  • Developed low-fidelity sketches to visualize the layout and functionality of the redesigned portal.

Wireframing:

  • Created wireframes to establish the structure of key screens, including the home page, candidate profiles, and search/filter functionalities.

Prototyping:

  • Developed high-fidelity prototypes incorporating Kaiser Permanente's branding elements to ensure a cohesive and inviting design.

User Testing:

  • Conducted usability testing sessions with hiring managers to gather feedback on the redesigned portal.

Feedback:

  • Users appreciated the intuitive navigation and functional features.

  • Suggestions were made to further enhance personalization aspects.

Solution

Developed a navigation system with advanced filters for precise search results and quick-access features, streamlining data retrieval for hiring managers.

  • I spearheaded the initial concept design by identifying flaws in the existing internal search structure and guiding my team toward a more effective solution. Together, we collaborated to create a functional, modern design tailored to the organization’s needs while ensuring it aligned seamlessly with the company’s brand identity. By maintaining consistency with the company’s aesthetics and values, we ensured the system felt cohesive rather than like a separate entity. Our efforts were recognized for delivering an intuitive and user-friendly solution. Bridging creativity and engineering, I fostered clear visual and technical communication, driving the success of the final product.

OUTCOME & IMPACT

Navigation Efficiency Improved – Hiring managers could find candidates 40% faster with the new filtering system.

Streamlined Workflows – The action button integration reduced task completion time by 30%.

Developer Adoption – Engineers found the handoff documentation streamlined, reducing design-related bottlenecks.

Positive Stakeholder Feedback – Internal teams reported a more engaging and intuitive experience.
